JOB RESPONSIBILITIES

The Secretariat unit in Oxelösund is a small and cohesive team with many exciting assignments within the secretariat and information management area. Here, you will step into an environment where curiosity, learning, and engagement are encouraged, and where you can make a difference.

The information management department of Oxelösund Municipality is currently in an exciting development phase as we implement an e-archive. In this role, you will play a central and important part in our digital transformation. You will have the opportunity to lead and coordinate the transition to the e-archive and help shape how the municipality sustainably and securely preserves and makes information accessible in the long term.

With us, you will work closely with colleagues in the secretariat, various departments, elected officials, the public, and external partners. Together, we will drive the development of the e-archive with you as the project leader and build a modern and well-thought-out information management system.

In this role, you will have the opportunity to:

  • Take the lead in planning, coordinating, and implementing transfers to the e-archive
  • Develop strategies, guidelines, and routines for e-archiving
  • Work on quality assurance of metadata, formats, and information packages
  • Collaborate broadly with system administrators, suppliers, and other partners

In addition to your work on implementing the e-archive throughout the municipality, you will also be an important resource in managing the physical archive by providing advice and support in the archival area, searching for documents, cataloging materials, participating in oversight, and working with document management plans and retention issues, in close collaboration with another archivist.

In addition to the above, you will contribute to the secretariat's common tasks, such as registering incoming and outgoing documents as needed. Some other administrative tasks may also fall within the scope of this assignment.

QUALIFICATIONS

You should have:

  • A university degree in archival science or another relevant education deemed equivalent by the employer
  • Good knowledge of archival legislation
  • Understanding of technical systems and digital information flows

Experience working in a politically governed organization, experience in system administration, project management, and having handled confidential public documents are advantageous.

Experience with:

  • Working with e-archives
  • Deliveries to e-archives
  • Developing information management and document management plans

As a person, you have a strong interest in archival issues and good pedagogical skills as much of the work involves spreading knowledge and providing support to departments. Additionally, we would like you to:

  • Be capable of working both independently and in a team
  • Have good communication skills, both verbally and in writing
  • Be driven, take initiative, follow through, and complete development work

OTHER

The position may be classified in a security class, and a security clearance may be conducted during recruitment.

The position will be filled provided it is not needed for already employed staff or if the conditions for recruitment change.

As Oxelösund Municipality is part of a Finnish administrative area, we welcome applicants with knowledge of Finnish. Other language skills beyond Swedish and English are also viewed positively.
